They are seeking a reliable and detail-focused Reception/Administration Assistant to join their team.
This role is perfect for someone who thrives in a busy environment, is confident using Xero, and enjoys working both independently and as part of a team.
Key Responsibilities:
- Process data entry in Xero – job creation, bills, and invoices ready for payment
- Accurately enter supplier data by job number
- Liaise with vendors regarding payments and invoice status
- Follow up on invoice queries and reconcile accounts
- Organise and apply for demolition permits
- Perform general administrative tasks, scanning, and filing
- Maintain compliance documentation and records
- Answer incoming calls, greet visitors, and manage enquiries
- Prepare job paperwork and send documentation to clients
- Process payments and manage accounts payable
- Liaise with customers via phone and email
- Ensure work accuracy, quality, and compliance with company policies
- Previous administration experience (construction industry an advantage)
- Strong organisational skills and attention to detail
- Confident using Xero or similar accounting software
- Excellent communication skills – written and verbal
- Ability to work autonomously and manage multiple priorities
- Professional, approachable, and team-focused attitude
